Importing Activities from Excel

Importing activities

Start importing activies by opening the V4 menu and select Import activities. Find the Excel file by clicking the upload button.

Select the way of mapping whether to map data from columns or cells.

Choose whether to create activities unpublished or published. Unpublished activity only appears in Planner.

If you are updating existing activities, select “Update”. The downloadable Excel must have the activity IDs created by ProjectTOP for targeting to be possible.

Enter the line from which the typing begins. By default, the first line is the title line, with typing starting at line two.

Mapping

Fields marked with asterisk(*) are mandatory. Select the equivalent in the table in the Excel file by first clicking the link button in the field on the mapping table and then the link button in the Excel file. You can unlink by clicking the cross.

You can also set only the default value on the mapping table. Select a default value from the drop-down menu.

If you set the link and the default value, the activity will primarily have the value in Excel, but if it is empty, the activity will have the default value selected in the table.

Click Generate preview to go to the preview.

Items marked in red are critical errors. The error is preventing the download, so they should be fixed.

Items marked in orange are invalid but do not prevent downloading. Fields are imported blank.

A yellow color indicates that the field is missing a value, but does not prevent loading. The field is imported blank.

A green color indicates that the mapping is OK.

A blue color indicates that the default value is OK.

To return to mapping, click the Mapping tab.

Click Save to download the activities. When the download is complete, OK will appear in the “Server results” column.

Saving mapping layout

You can save mapping layouts to make it easier to import activities in the future. Complete the table first and then click “Manage” from the “Mappings” menu.

Name the layout and save. In the future, you can select the layout you made from the menu.

Excel example

If you are updating existing activities, Excel should always include the activity ID. The number of activities can vary and can be on more than one tab.
